The Onboarding Checklist

The onboarding checklist on your Dashboard is the fastest way to learn Loyva. It tracks four milestones. The same ones your business needs to hit to get value from the platform, and updates in real time as you complete them. This article explains what each task means, where to do it, and how to dismiss the checklist once you’re comfortable.

Where to find it

Sign in and go to the Dashboard (sidebar > Dashboard). The checklist sits near the top of the page, showing a progress bar and four tasks. It re-checks your progress automatically every few seconds, so completed steps tick off without a page refresh.

Note: the checklist is scoped to the current organization. If you switch orgs, you’ll see that org’s progress.

The four tasks

1. Add your first client

Loyva is organized around clients (residential or commercial). Until you have at least one, the rest of the platform has nothing to point at.

Where: sidebar > Clients > New Client.

What counts: any active (non-archived) client in this org.

Tip: use a test client with your own email address so you can play through the full proposal-and-signing flow safely.

2. Create your first folder

Folders organize documents inside a client — for example Contracts, Service Agreements, Permits. They keep the client workspace tidy and let templates target the right place.

Where: open a client > Folders tab > New Folder.

What counts: any active folder in this org.

3. Send your first document for signature

This is the core e-signature workflow. You can start from a template, an uploaded PDF, or a proposal.

Where: open a client > Documents tab > Send for Signature, or sidebar > Documents > New.

What counts: any envelope that has moved past the draft state — i.e., actually sent.

4. Vault your first signed contract

Once your client signs, Loyva can lock the executed document into the Vault as an Authoritative Copy — the single tamper-evident original required by UCC § 9-105 for transferable records.

Where: completed envelope > Vault In. Both an Authoritative Copy (green) and a working Copy (blue) are created, plus a complete audit log.

What counts: any envelope with status vaulted in this org.

Requires that you’ve set your personal vault PIN in Settings > Compliance.

Tracking progress

  • Each completed task gets a checkmark and the progress bar advances 25%.

  • At 100% the checklist shows a completion state, and you can dismiss it.

  • Progress is per organization — hitting 100% in one org doesn’t affect another.

Dismissing and restoring the checklist

  • Once you’re comfortable, you can hide the checklist.

  • Click the dismiss (×) button in the top-right corner of the checklist card.

  • It disappears from the Dashboard. Your preference is stored on this device.

  • To bring it back, clear the saved dismissal: in your browser’s developer tools, remove the onboarding-checklist-dismissed key from local storage, or sign in from a different device or browser. (A built-in restore action may also appear on the Dashboard once you complete all tasks.)

Tips for new teams

  • Do the checklist with a real teammate. It doubles as a training session for your first hire.

  • Pair it with the in-app product tour (see Taking the In-App Product Tour). The tour walks you through clicking each step; the checklist confirms the result.

  • If you’re a Sales user, the checklist still tracks the same milestones. A Custodian on your team can’t complete the send document step for you because they can’t send envelopes.


Frequently asked questions

I created a client but the task didn’t check off.
Wait up to 5 seconds. The checklist polls in the background. If it still doesn’t update, refresh the page. The query looks for active (non-archived) customers in the current org, so an archived client doesn’t count.

I sent a document but step 3 is still incomplete.
Make sure the envelope is past draft (it’s actually sent, not just saved). Recall the envelope and re-send if needed.

Why does the vault step require a PIN?
Vaulting creates the Authoritative Copy under your name. The audit log records the user who locked it. Your PIN unlocks the vault session so that action can be attributed and protected.

We’re a larger team. Does the checklist matter once we’re running?
Not really. Dismiss it. It’s an onboarding aid, not an ongoing report. For ongoing metrics use Reports in the sidebar.
