Inviting teammates
Who can do this: only Organization Admins can invite or remove users. Sales and Custodian users won’t see the Team Members panel.
Loyva requires teammates to be added through the invitation flow. Admins can’t create user records directly. The invitation flow handles role assignment, audit logging, and the welcome email in one step.
Sending an invitation
Go to Settings > Organization Settings > Team Members.
Click Invite Team Member.
Enter the teammate’s email address.
Choose their role: Organization Admin, Sales, or Custodian. (See Understanding User Roles for details.)
Click Send Invitation. Loyva emails them a secure invitation link that expires after 7 days.
What the invited person sees
An email titled “You’ve been invited to join [Org Name] on Loyva”.
A button to accept the invitation. If they’re new to Loyva, they’ll be asked to set a password. If they already have a Loyva account (under any org), the new org is simply linked to their existing login. No second password.
After accepting, they’re dropped onto the dashboard for your org, with the role you chose.
Resending or revoking an invitation
On the Team Members panel, pending invitations are shown separately from active members. Use the menu next to each pending invite to resend the email or revoke the invitation.
Removing or changing a teammate
Go to Settings > Organization Settings > Team Members.
Find the user and open the action menu (…).
To change their role, pick Change Role and select the new one. The change applies on their next page load.
To remove them, pick Remove from Organization. They lose access immediately but their historical actions remain in the audit log.
Removing a user does not delete the clients, proposals, or documents they created. Those stay with the org.
Frequently asked questions
My teammate didn’t get the invitation email.
Ask them to check spam, then resend from the Team Members panel. Invitation emails come from a Loyva no-reply address. Allow-listing that domain in your mail filter helps. Links expire after 7 days; revoke and re-send if needed.
Can I invite a client this way?
No. The Team Members flow is for internal staff only. Clients sign documents through email links and view proposals through magic-link client portals. They don’t need an account.
How many Admins should we have?
At least two. Admins are the only ones who can manage billing, integrations, and other admins, so having a backup avoids being locked out if one person is unavailable.
What happens to a removed user’s assigned clients?
Assignments stay in place. Reassign them from the Clients page. Open each client and update the assigned Sales or Custodian. You can also bulk-filter and reassign from the team-assignment tools.
