Role Permissions Explained

What Admins, Sales, and Custodians can and can't do in Loyva.

The three roles

  • Admin: full control of the organization, billing, team, and settings.

  • Sales: focused on clients, proposals, and signature workflows.

  • Custodian: responsible for vaulted Authoritative Copies and compliance.

Admin

  • Invite, edit, and remove team members.

  • Change anyone's role (except their own if it leaves the org without an Admin).

  • Manage Organization Settings: branding, timezone, notifications, integrations.

  • Configure Compliance: vault PINs, reminder policy, retention.

  • View Reports and Billing.

  • Access all clients, proposals, documents, and the vault.

Sales

  • Create and manage clients they are assigned to.

  • Build and send proposals, track views, accepts, declines.

  • Upload documents and send them out for e-signature.

  • Manage their own integrations (Gmail, Outlook) under My Preferences.

  • Cannot invite users, change roles, edit org settings, or open the vault.

Custodian

  • Receives the Custodian Dashboard focused on vaulted contracts.

  • Can vault in signed contracts (create Authoritative Copy + audit log).

  • Can view Authoritative Copies for clients they're assigned to.

  • Cannot download or print Authoritative Copies (per UCC § 9-105).

  • Cannot send proposals or manage org settings.

Use this as a cheat sheet:

  • Invite team → Admin only.

  • Send proposals → Admin, Sales.

  • Vault in contracts → Admin, Custodian.

  • Download Authoritative Copy → Admin only.

  • Billing → Admin only.

Changing someone's role

  1. Go to Settings → Organization Settings → Team Members.

  2. Click the role dropdown next to the person's name.

  3. Pick the new role and confirm.
