Using Client Tags

Tags are flexible labels you attach to clients to group them however your team thinks about the business. By service line, risk tier, billing terms, geography, or anything else. Once tagged, you can filter your Clients list, run reports, and apply templates by tag.

Where tags live

Tags are managed in two places:

  • Tags page (sidebar β†’ Tags): create, rename, recolor, and delete tags for your whole organization.

  • Client edit screen β†’ Tags tab: apply or remove tags on an individual client.

Creating a tag

  1. Go to Tags in the sidebar.

  2. Open the Client Tags section.

  3. Click + New Tag.

  4. Enter a short, descriptive name (e.g. "VIP", "Net-30", "Multi-Site").

  5. Pick a color: blue, green, orange, purple, red, gray, yellow, or pink.

  6. Click Save.

Note: Keep tag names short. They appear as colored chips throughout the app. Use color consistently (e.g. red for high-priority, gray for inactive).

Applying tags to a client

  1. Open the client and click Edit.

  2. Go to the Tags tab.

  3. Click in the tag selector and pick one or more tags. Start typing to filter the list.

  4. Click Save. Tags appear next to the client name everywhere in the app.

Filtering by tag

On the Clients page, open the filter panel and choose one or more tags. The list narrows to clients that match. Combine with other filters (type, status, assigned team member) to drill in further.

Renaming or recoloring a tag

Edit a tag from the Tags page. Changes apply everywhere the tag is used, you don't have to re-tag clients individually.

Deleting a tag

  1. Go to Tags β†’ Client Tags.

  2. Click the trash icon on the tag.

  3. Confirm. The tag is removed from every client that had it; the clients themselves are not affected.

Suggested tag patterns

  • Service line: Residential, Commercial, Industrial

  • Priority: VIP, High Priority, At Risk

  • Billing: Net-30, Net-60, Prepaid, COD

  • Geography: Region or branch codes

  • Lifecycle: Prospect, Active, Inactive, Lost

Note: Only Admin users can create, rename, or delete tags. Sales and Custodian users can apply existing tags to clients they have access to.
