Creating a One-Time, Recurring, or Hybrid Invoice

Loyva supports three invoice shapes, and you can build any of them from the Billing tab on a client's workspace.

One-time invoice

  1. Use for setup fees, equipment sales, service calls - anything you bill once.

  2. Open the client workspace and go to Billing β†’ New invoice.

  3. Add line items manually or pull from the pricing library.

  4. Pick a due date and send. The customer gets a branded email with a hosted Stripe payment page.

Recurring invoice (subscription)

  1. Use for monitoring, monthly software, or any RMR. Loyva creates a Stripe subscription so the customer is charged automatically each cycle.

  2. From New invoice, switch the toggle to Recurring.

  3. Pick the interval (monthly, quarterly, annual) and the start date.

  4. Add recurring line items. The first invoice is sent on the start date and Stripe handles every renewal after that.

Hybrid invoice (one-time + recurring on the same bill)

  1. Use when you want to bill setup + first month together. Loyva combines a one-time charge and a subscription into a single first invoice, then the subscription continues on its own from cycle two.

  2. From New invoice, add both one-time and recurring line items.

  3. Loyva creates the Stripe subscription with the one-time items added to the first invoice only.

  4. Cycle 2 onward bills only the recurring items.

Where invoices come from

You can build an invoice from scratch, but more often Loyva pre-fills it from a signed contract's line items. The contract's RMR becomes the subscription; any one-time items become the upfront charges on invoice #1.

Note: Invoice status syncs from Stripe via webhook: draft β†’ open β†’ paid β†’ past_due β†’ void. You'll see the live status in the Invoices table without refreshing.
