Bulk Importing Clients via CSV
Already have a customer list in a spreadsheet? Use the bulk import to add hundreds of clients at once. Loyva validates each row, shows errors clearly, and creates both individual and company records from a single file.
Step 1: Download the template
Go to Clients and click Bulk Import (or Import CSV).
Click Download Template. The template is pre-filled with sample rows and uses your email in the team assignment column so you can test the flow. You can also download a copy here:

Step 2: Fill in your data
The template includes these columns:
client_type: residential or commercial
external_client_id: your internal reference (optional)
name: required (person name for residential, company name for commercial)
email, phone
company, job_title: used on residential rows when the person works for a company
contact_name, contact_email: primary contact on commercial rows
address_line1, address_line2, city, state, postal_code, country
category (e.g. VIP, Premium) and notes
team_member_emails: semicolon-separated list of teammate emails to assign (e.g. sarah@co.com;mike@co.com)
Step 3: Upload and validate
Drag the completed CSV onto the upload area (or click to browse).
Loyva parses the file and shows a preview with row counts.
If any rows fail validation, you'll see a list with the row number and the reason. For example "Row 5: Name is required" or "Row 8: Invalid email format".
Fix the errors in your spreadsheet, re-export, and upload again. You can repeat this until the file is clean.
Step 4: Confirm the import
Once all rows are valid, click Import. Loyva creates each client, assigns the requested team members, and refreshes your Clients list. Imports of a few hundred rows typically finish in a few seconds.
Tips for clean imports
Save your file as CSV (Comma delimited), not Excel.
Use UTF-8 encoding to preserve accented characters.
For commercial rows, leave email/phone blank if you only have a primary contact. Put their details in contact_name / contact_email.
Team member emails must match users that already exist in your organization.
You can re-run an import to add more clients later. Duplicates by name are not auto-merged, so de-dupe in your spreadsheet first.
Note: Only Admin users can run a bulk import. Sales and Custodian users can create clients one at a time.
