Setting or Changing Your Vault PIN

If your role includes vault access (Admin or Custodian), you have a personal PIN that protects authoritative copies of signed documents. This PIN is separate from your account password and is unique to you. No one else, including your administrator, knows it.

Vault PIN: an extra layer for sensitive documents
Authoritative copies in the vault require a personal PIN in addition to your password. PINs are per-user, so each teammate has their own.

First-time setup

The first time you open the Vault tab, you’ll be prompted to set a 4- to 8-digit PIN.

  1. In Settings, find the Vault Security card.

  2. Under Your Vault PIN, click Set PIN.

  3. Enter a PIN between 4 and 20 characters. Use the eye icon to reveal what you typed if you want to double-check it.

  4. Re-enter the same PIN in Confirm PIN.

  5. Click Create PIN. You'll now be prompted for this PIN whenever you access the vault.

Changing an existing PIN

  1. In the Vault Security card, click Change PIN.

  2. Enter your current PIN to verify your identity.

  3. Enter and confirm a new PIN.

  4. Click Change PIN. Active vault sessions remain valid until they time out (30 minutes of inactivity).

If you forgot your vault PIN

An organization administrator can reset your vault PIN from the Team Vault Access table in their Settings page. Once reset, you will be prompted to create a new PIN the next time you open the vault. Any active vault sessions you have are terminated immediately.

Brute-force protection: 5 failed PIN attempts lock the vault for 15 minutes.

Frequently asked questions

Is my vault PIN the same as my account password?
No. They are independent. Your password authenticates you to Loyva itself; your vault PIN unlocks access to authoritative signed documents in the secure vault. Changing one does not affect the other.

Can my administrator see my vault PIN?
No. Both are stored as one-way hashes, even Loyva itself cannot read them. An administrator can trigger a reset, but cannot view your existing credentials.

How long does a vault session stay unlocked?
Vault sessions auto-lock after 30 minutes of inactivity, per UCC § 9-105 compliance requirements. You'll be prompted for your PIN again after that.
