Vaulting a Signed Document

Vaulting moves a fully-signed envelope into the secure vault and generates the Authoritative Copy, Copy, and Audit Log required for UCC § 9-105 compliance.

When can you vault?

An envelope is eligible for vaulting once every signer has signed (status Completed). You cannot vault an envelope that is still in progress, was voided, or was recalled.

Vault it

  1. Open the Signatures tab and find the completed envelope.

  2. Click Vault in (or open the envelope and use the Vault action).

  3. Loyva calls the secure vault-in edge function which unmasks any masked fields (SSN, account numbers, etc.) and waits briefly for the provider to regenerate the final PDFs.

  4. Three artifacts are stored against the envelope and the artifacts disappear from the general Documents view.

What you get back

  • Authoritative Copy (green badge): view-only, no download, no print.

  • Copy (blue badge): downloadable and printable working copy.

  • Audit Log: every signature event, IP address, and timestamp.

Multi-document envelopes

If the envelope contained more than one document, all of them are vaulted together. Each document gets its own Authoritative Copy and Copy, and they live under the same envelope record in the vault.

Note: Vaulted documents are intentionally hidden from the general Documents view to prevent accidental exposure of the unmasked Authoritative Copy. Access them from the Vault area only.
